Please give at least 24 hours notice to cancel or reschedule. Sessions canceled with less than 24 hours notice, and sessions you miss, are charged a $190 fee. This applies whether or not you use insurance, because insurance companies do not pay for missed or late-canceled sessions.
Your session still ends at its scheduled time. Our insurance contracts only let us bill sessions of 53 minutes or longer, so if your session runs shorter because you arrived late or left early, we can't bill your insurance and the $190 fee applies instead. If you're more than 10 minutes late without contacting your therapist, the session is canceled and charged. Private-pay clients pay the full session fee whenever they arrive late or leave early.
Every client keeps a credit card on file in the client portal. It covers late cancellation and no-show fees, and any balance your insurance assigns to you. You can update it anytime in the portal.
If you have a copay or coinsurance, we charge the amount we were quoted at the time of your session. If the amount your insurance assigns to you is different once the claim settles, we adjust the charge to match. If you have a deductible, we wait until the claim settles and then charge the amount your insurance assigns to you. We charge it even if you're disputing it with your insurer, and if your insurer later pays us more, we'll refund the difference to you.
Clients who don't pay their balance after we reach out, who refuse to pay late cancellation or no-show fees, or who contest any valid charges with their credit card company, including copays and late cancellation or no-show fees, may be discharged from treatment at Radiance. If this happens, we'll provide referrals to other providers. Balances overdue by more than 90 days may also be sent to a collections agency.
The benefits we quote come from your insurance company, and unfortunately what they tell us on the phone doesn't always match how they actually process claims. Our benefit checks are a courtesy, not a guarantee of coverage. You are responsible for whatever your insurance assigns to you once a claim is processed, even if it's different from what was quoted. If you think a claim was processed in error, let us know and we'll help, for example by resubmitting it or contacting your insurer. Since your plan is a contract between you and your insurance company, you'll also need to follow up with them directly. If they later reprocess the claim and pay us more, we'll refund the difference to you.
Let us know right away. Claims sent to an old or inactive plan get denied, and any session your insurance won't cover becomes your responsibility.
You can, but please talk with your Radiance therapist first. Clinically, working with more than one provider can be helpful, for example when you're in a specialized program or seeing someone for a different concern. It can also get in the way of your progress if the approaches conflict or the work overlaps. Your therapist can help you decide what makes sense and, with your permission, coordinate with your other provider. For billing purposes, you can't see two providers on the same day if both are billed to insurance. Insurance generally won't pay for more than one therapy session on the same day, including sessions in a higher level of care such as an Intensive Outpatient Program (IOP). If both are billed on the same day, the claim will likely be denied and you will be charged in full for your Radiance session, so please schedule them on different days.
No. Insurance companies only pay for therapy that is medically necessary, which means your therapist must give a diagnosis, and it is included on every claim sent to your insurer. Your therapist is also required to keep written records of your treatment, and your insurance company can ask to review them. If you'd rather not have a diagnosis shared with your insurance company, you can choose to pay privately instead. Your therapist will still keep records, as Pennsylvania law requires, but they won't be shared with an insurer.
Yes. If you pay out of pocket, we can give you a superbill to submit to your insurance company for possible out-of-network reimbursement. Just ask your therapist.
Maybe, so ask before you go. All of our therapists are licensed in Pennsylvania, and most are licensed only in Pennsylvania. Your therapist can only see you when you are physically located in a state where they're licensed. If you show up for a session from a state where your therapist isn't licensed, the session may be canceled and you will be charged the $190 fee.
Email is the best way to reach your therapist, since they are usually in sessions during the day and can't always answer the phone. Emails are usually answered within one business day. Email isn't completely secure, so please keep messages to scheduling and brief questions, and save anything sensitive for your session.
Some of our therapists use secure, HIPAA-compliant software that records sessions just long enough to draft the progress note, then deletes the recording. They only use it with your consent, which is included in our standard Informed Consent. If you'd prefer a copy of the Informed Consent without AI note-taking, one can be provided.
Some of our therapists hold associate-level licenses (LAPC or LAMFT) and practice under the supervision of a fully licensed clinician at Radiance while they work toward full licensure. Feel free to ask your therapist about their license and supervision.
Your therapist isn't available around the clock. If you feel unable to keep yourself safe, call or text 988 (the Suicide and Crisis Lifeline, free and open 24/7), call 911, or go to your nearest emergency room.
Ask your therapist or email us. We'll respond within 30 days, and a reasonable copying fee may apply.
Start with your therapist if you can. If that doesn't feel right, or the concern isn't resolved, contact Meghan DeFino, Clinical Supervisor, at Meghan@RadianceTherapyGroup.com or (484) 679-6341.
We're happy to help with billing, scheduling, or anything else.
